What we collect, and what we never touch
Plain language about the information the portal holds for a deal, who on that deal can see it, the documents we refuse to store at all, and the choices you have.
01What this covers
This policy explains what EliteHomePortal (“we”, “us”) collects when you use the portal — whether you are a buyer, seller or renter (“client”), a real-estate agent, a lender or loan officer, or a broker — and what we do with it. It applies to the website, the portal embedded on an agent’s own site, and the emails we send.
The portal is a coordination tool for a real-estate transaction. It is not your lender, your title company or your agent, and it does not replace the records they keep.
02What we collect
Account details. Your name, email address and, if you provide it, phone number. Agents and lenders also choose a password. Clients sign in with a link sent to their email and never set a password with us.
Social sign-in. If you choose to continue with Google, Microsoft, Apple, LinkedIn, Facebook or X, that service confirms who you are and shares your name and email address with us (some also send a profile-picture link, which we don’t use). We never receive your password for that service, and we get no access to your contacts, posts, files or other accounts.
Google Calendar (agents who connect it). If an agent connects Google Calendar, we keep an encrypted token that lets us read the events on their primary calendar — title, start time and location — to show them on their schedule, and add or update the deal dates they choose to put on that calendar. We read nothing else in their Google account, and disconnecting deletes the token and revokes our access. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
Deal information. The property address, your role on the deal (buyer, seller, renter, agent, lender), milestone dates, tasks and action items, vendor contacts added to the deal, invoices and receipts, offers logged on a listing, maintenance requests on a rental, and notes.
Documents. Files uploaded to a deal or forwarded to a deal’s email address — such as contracts, addenda, inspection reports and vendor invoices — together with the sender address and subject line of a forwarded email.
Loan figures entered by the lender. Loan status, key dates and the estimated funds needed at closing (closing costs, seller credits, gift letters). These are summaries typed in by the lender; the underlying loan paperwork is not stored here (see section 4).
Billing. If you subscribe, payment is handled by our payment processor. We receive your subscription status and a customer reference — never your full card number.
Usage and technical data. Sign-in times, the pages you open, your browser type, and an activity log of status changes and document uploads on each deal. We use a small number of strictly necessary cookies to keep you signed in (listed in section 7); we do not use advertising or analytics cookies.
Bug reports. If you send a bug report, we keep what you wrote, the page it concerned, your browser details, and any screenshot you attach.
03How we use it
- To run the deal: show each person the timeline, documents, tasks and notes that belong to their role.
- To file documents you upload or forward, and to sort them by type.
- To send the emails the portal depends on — sign-in links, status updates and, after closing, home reminders. You can turn reminders off at any time.
- To manage subscriptions and, where you subscribe, take payment.
- To keep an activity log that brokers can review, and to investigate problems you report.
- To keep the service secure and to improve it.
We do not sell your information, and we do not use it for advertising.
04What we deliberately never store
The portal refuses, at upload, documents that carry your financial identity or the details of your closing funds: loan applications, bank statements, pay stubs, tax returns, credit reports, and wire instructions or confirmations that contain account or routing numbers. This applies to files that are uploaded and to files that arrive by email, for every role, with no exception. Pre-approval letters, Loan Estimates and Closing Disclosures are shown as a summary with a link to the authoritative copy on your lender’s or title company’s own system; the file itself is not stored here.
You will always exchange those documents directly with your lender and title company. We will never ask you to wire money, and no wiring details will ever appear inside the portal.
05Who can see your information
Access is decided by your role on a specific deal. A client sees only their own deal — and only the documents, invoices and notes shared with clients. Internal notes between an agent and a lender are never shown to a client. Loan figures can be changed only by the lender. A buyer on one deal and a seller on another never see each other’s information, even when the same person holds both roles.
The agent or lender who created a deal, and the professional they invited onto it, can see the deal’s shared record. A broker or administrator can see an overview of deals and the activity log across the platform.
When you use the portal on an agent’s own website, that agent is the professional running your deal; they see what the agent role allows and nothing more.
06Service providers we rely on
We use a small number of providers to run the service. They process information only on our instructions:
- Hosting, database, sign-in and file storage — our application, database and encrypted document storage are hosted with established cloud providers in the United States.
- Email delivery — for sign-in links, invitations, notifications and reminders.
- Sign-in providers — Google, Microsoft, Apple, LinkedIn, Facebook and X, only if you choose to sign in with one of them.
- Google Calendar — only for agents who connect it, as described under “What we collect”.
- Contract reading — when an agent uploads a ratified contract to start a deal, the file is sent to an AI provider (Anthropic) to pull out the dates, price and parties for the agent to check. The provider uses it only to return those details, not to train its models.
- Payments — subscription payments are processed by a payment provider that holds your card details; we do not.
- Bug-report screenshots — screenshots attached to a bug report are stored with an image-hosting provider. Please don’t include sensitive information in a screenshot.
We may also disclose information where the law requires it, or to protect the rights and safety of users and the public.
08How we protect it
Data is encrypted in transit and at rest. Documents are stored in private storage and reached only through short-lived, signed links issued to people on that deal. Every read and write is checked against your role on the deal. Uploads are limited by size and file type. Administrative access is restricted and logged.
No system is perfectly secure. If we learn of a breach affecting your information we will notify you as the law requires.
09How long we keep it
A deal’s record is intended to outlast the transaction: after closing it becomes the record of the home, so documents, receipts and reminders remain available to the people on that deal. We keep a deal until the professional who owns it deletes it or an account is closed, subject to any legal retention obligation.
Account details are kept while your account is open. Activity logs and bug reports are kept for as long as they are useful for security and support, then removed.
10Your choices and rights
- Access and correction — you can see your deal information in the portal at any time and ask us to correct anything that is wrong.
- Deletion — you can ask us to close your account and delete your information. Where a deal record must be kept for another party or by law, we will remove or anonymise what we can and tell you what remains.
- Reminders and notifications — every reminder email includes a way to stop them, and you can ask us to turn them off.
- Portability — you can download your documents from the portal, and can ask us for a copy of your information.
Depending on where you live you may have additional rights under local law; we will honour them. To exercise any of these, email us at the address below.
11Children
The portal is for people taking part in a real-estate transaction and is not directed at anyone under 18. We do not knowingly collect information from children.
12Changes to this policy
If we change this policy in a way that matters, we will post the new version here with a new effective date and, for significant changes, tell you by email or in the portal.
